JoinVia

Setup guide

Connect once.
Keep your flow.

JoinVia keeps Apple Reminders as the source of truth and mirrors dated reminders into one dedicated calendar. You choose Google Calendar or Outlook for free; JoinVia Pro can keep both current.

01

First setup

  1. Open JoinVia and allow Reminders access.
  2. Choose Google Calendar or Microsoft Outlook as the active destination.
  3. Sign in through the provider's secure system-browser page and approve the calendar permissions shown.
  4. Choose your event completion behavior, whether calendar completion actions are included and whether they complete immediately or ask you to review first.
  5. Tap Sync Now. JoinVia creates or reuses a separate JoinVia calendar and never writes to the default calendar.

02

Choose lists and appearance

Open Settings → Reminder Lists to choose which Apple lists are mirrored. All enabled dated reminders are included; undated reminders stay only in Reminders.

You can use Outlook categories or Google event labels per list, then override duration, alerts, availability, title markers and optional details. With JoinVia Pro and both destinations active, each list can go to Google Calendar, Outlook or both.

03

Complete from the calendar

When calendar completion is on, each incomplete event includes a completion action in its Location field. Tap it on the iPhone that has JoinVia installed.

Complete immediately is the default for new setups. The secure handoff opens JoinVia, validates the matching reminder locally, completes it and runs a normal sync. Choose Review first in JoinVia whenever you prefer to see the reminder and press a confirmation button before it changes.

JoinVia attempts to return to the originating calendar only after every active destination updates successfully. Review first adds the confirmation step before completion and sync. If the native app cannot open, JoinVia falls back to that provider's general web calendar; it cannot promise a deep link to the exact event.

If the link came from an old inactive provider copy, Apple Reminders and the current active provider update; that old copy is not maintained.

04

Set up both recommended automations

Automatic Sync lets you choose Frequent, Hourly, Daily or Off. These set the earliest time JoinVia may be eligible again; iOS still controls the actual timing, so it is a best-effort backup rather than a clock.

  1. In JoinVia, open Settings → Shortcut Automations.
  2. Create the recommended “After Reminders closes” automation for changes made on this iPhone.
  3. Create the recommended “When your calendar app opens” automation so JoinVia catches up before you view that calendar.
  4. For changes made on a Mac or iPad, you can optionally add a time-based personal automation at the times you choose.

Both named automations are recommended; a time-based automation is an optional extra. Apple requires you to create Personal Automations yourself. JoinVia can guide you but cannot add, inspect or verify them.

05

When you are offline

A sync attempt stops safely without building a retry queue or repeatedly waking your phone. The next app-open, Shortcut, background opportunity or manual Sync Now catches up when a connection is available.

If you use a completion action while offline, Apple Reminders changes locally and JoinVia stays open to explain that the active calendar still needs a successful sync.

06

Check or change anything

Home shows the active connections, last successful sync and any issue that needs attention. Settings → Sync Activity keeps privacy-safe results without reminder titles.
